Job Description Summary

Responsible for both strategic planning and day to day management of complex and broad range of projects conducted with collaborators both internal and external to University. Take leadership role in developing study protocols, writing grants, managing the detailed operations of projects, analyzing qualitative and quantitative data, cultivating close relationships with community partner organizations, and drafting/editing manuscripts for submission to peer-reviewed journal.

Responsible for planning and managing day-to-day activities for a multi-site implementation science study funded by the NIH and conducted with collaborators both internal and external to Penn. Coordinates study activities to implement an evidence-based practice for transitioning sepsis survivors from acute to home health care. Develops, recommends, and implements methods that enhance the process and support the aims of the study. Works under general supervision and mentoring by the PI. Will also be responsible for coordinating annual reports to the NIH; planning, coordinating, and documenting the national advisory group meetings, site stakeholder meetings and research team meetings. Participates in qualitative data analysis of barriers, enablers, and context of the implementation. and maintains procedures and policies for safe data storage. Provides significant contributions as a co-author to presentations and manuscripts, including multiple drafts for review and dissemination, and development of future grant applications. Plays a primary role in other dissemination activities related to project findings.

Job Responsibilities

(1) Planning and Management - Provides daily operations management of research projects for working in collaboration with the Principal Investigator and project teams; supervises staff, creates agendas, and manages budget.

  • Manages operations for the project through its multi-year life cycle.
  • Designs, manages, and implements systems and procedures to maintain effective and efficient project operations in keeping with study protocols; works to develop ongoing and continuous improvement for optimal efficiency.
  • Builds effective relationships with study partners and investigators; ensures effective communication and professional relationships are developed and maintained.
  • Plans and co-leads team meetings with PI.
  • Takes minutes at meetings and follows-up on action items.
  • Administers research activities to ensure that goals and objectives are monitored and results achieved on time; tracks progress and alerts PI about irregularities as appropriate.
  • Prepares and coordinates the submission of reports for both regulatory and administrative requirements with the project team.
  • Analyzes and monitors study parameters across all sites.
  • Supervises staff which includes hiring, performance management and training and development of research staff.
  • Ensures compliance with all HR policies as they relate to study staff.
  • Oversees and reviews monthly budget; submits any needed corrections as problems arise.
  • Collaborates with University/School budget offices to ensure funds are accurate.
  • Processes reimbursem*nts in a timely fashion.

(2) Study Coordination and Recruitment

  • Oversees procedures regarding recruitment and engagement of stakeholders into the research study in collaboration with the research team.
  • Tracks and monitors consent process and records.
  • Assures confidentiality of subjects and research data.
  • Prepares educational materials for the stakeholders.

(3) Quality Assurance and Compliance - Develops and manages processes for quality data collection, quality assurance and compliance.

  • Develops systems and processes for collection and maintenance of quality data.
  • Ensures quality control measures in keeping with study protocols; performs quality assurance on work completed by the research assistants.
  • Manages Quality Assurance; problem solves follow-up challenges with the intent to improve the quality of data obtained.
  • Communicate and facilitate updates with the IRB, Office of Nursing Research and Office of Research Services.
  • Track and monitor compliance with sponsor regulations (external to Penn).
  • Maintain current knowledge of sponsored programs.
  • Oversees the procurement of data and execution of the data use agreement with CMS

(4) Reporting and Dissemination Activities - Prepares financial, regulatory, and technical progress reports; drafts articles for publication; prepares data summaries.

  • Compiles and coordinates report submissions; prepares financial, regulatory, and technical progress reports working in collaboration with the PI.
  • Prepares data summaries for various entities, IRBs and participants.
  • Formats reference lists and completes final formatting for manuscript submission per publisher instructions.
  • Drafts/co-authors articles for publication.
  • Submits and monitors social media dissemination.
  • Submits manuscripts electronically per publisher instructions.
  • Drafts professional-looking PowerPoint and poster presentations.

(5) Performs other related duties as assigned

  • A master's degree, preferably in a health related field and 3 to 5 years of experience or equivalent combination of education and experience is required.
